Multi-factor Authentication (MFA) Fob – Programming & Assigning
Important Information
This document explains how to program and assign a Multi-factor Authentication (MFA) fob to an end-user. The MFA fob is an alternative MFA method provided by the City of Fort Collins if the end-user is unable to setup their phone with the Microsoft Authenticator App.
Step One – Assign Fob to End-user
- Obtain a new fob from inventory.

Update Fresh Service and assign fob to the user:
- Log into Fresh Service support.fcgov.com
- On the top right, search for the user that you will be assigning the fob to:

- Select the user, and click Assets & then Assign Asset:

- Search for the fob by either serial # or asset # (on the back of the fob) and click the auto-populated fob to assign:

Step Two – Program the Fob

Download & install the Microcosm programming software available here:
- \\efp\techshare$\Microcosm
- You will also need a USB Near Field Communication (NFC) reader (plug in reader prior to launching the Microcosm app).
- Have the user log into https://portal.office.com. (This can be done through an incognito browser if desired).
- Click the initials or picture on the top right and choose View Account:

- Click Update Info under Security Info:

- Click Add sign-in Method:

- Choose Authenticator app and click Add:

- Click I want to use a different authenticator app:


- With the QR code on the screen, zoom the browser in to about 200%, then start the Microcosm application. (Make sure the QR code and application are on your primary screen).

- In the Microcosm application, make sure Card Reader is set to the USB attached reader, then select Specify a seed value:

- Click the QR code to generate a seed value:

- Press the power button on the fob, then set it on the NFC card reader.
- Click Program Token. If successful, you will see 'programmed successfully in the log on the right side of the application:

- Go back to the portal website and click Next:

- Enter the 6-digit code from the fob, then click Next:

- If done correctly, you should see a screen like this:

- If the code does not take, go back to the Microcosm app, scan the QR code, and try to program the fob again.
- Log out of the portal and give the fob to the user.
- Finished!
